Information we collect
We collect information you choose to send to us, including your name, work email address, business or practice name, website, location or coverage area, treatment or service priorities, message, campaign goals, and any files or links you provide for a Synthetic Eye project.
Do not send patient records, medical histories, clinical photographs, customer records, or other unnecessary sensitive or third-party personal information through a website audit form.
Our website host may also process basic technical information such as IP address, browser type, device information, pages visited, and timestamps for security, diagnostics, and delivery of the site.
How we use information
- To reply to enquiries and manage requests for practice growth or contractor lead-flow audits.
- To review websites, service or treatment priorities, campaign goals, and current enquiry activity.
- To plan, deliver, and improve Synthetic Eye lead generation, enquiry follow-up, reporting, and campaign systems.
- To manage client relationships, invoices, records, and support.
- To keep the website secure, working, and reliable.
- To send relevant follow-up messages about an enquiry or project.
Lawful bases
We process enquiry and project information where it is necessary to take steps before entering into a contract, to perform a contract, to meet legal obligations, or for our legitimate interests in running and improving the business.
If we ever rely on consent for a specific use, you can withdraw that consent at any time.
Client enquiries and third-party data
Live projects may involve information about prospective patients or homeowners, such as names, contact details, treatment or service interests, locations, and enquiry messages. The dental practice or home improvement company will normally remain the data controller for its enquiry data, with our role agreed in writing before processing begins.
We minimise the information used for marketing and enquiry operations. For dental projects, clinical records, diagnoses, treatment suitability, consent, and patient care should remain within the practice's approved clinical systems and under the control of appropriately trained staff. For home improvement projects, surveys, specifications, quotations, and contracts remain the responsibility of the service provider.
Only share information you have the right to provide and only through an agreed, appropriate channel.
Sharing information
We do not sell personal information. We may share information with service providers who help us operate the website, receive form submissions, manage email, store files, edit content, or deliver client work. We may also share information where required by law, with professional advisers, or to protect our rights.
Some providers may process information outside the UK. Where this happens, we expect appropriate safeguards to be used.
How long we keep information
- Enquiries: normally up to 24 months after the last contact.
- Synthetic Eye project, campaign, and lead-generation records: normally up to 24 months after the last activity, unless a longer or shorter period is agreed or needed for support.
- Client enquiry data processed on your behalf: retained according to the agreed service, platform settings, data-processing terms, or your written instructions.
- Business, accounting, and legal records: normally up to 6 years where required for tax, accounting, or legal purposes.
We may keep less information, or keep it for less time, where it is no longer needed.
Your rights
Depending on the circumstances, you may have rights to access, correct, delete, restrict, object to, or request a copy of your personal information. You may also have the right to complain to the UK Information Commissioner's Office.
